Before You Buy Another Insurance Tool, Ask These 3 Questions

Published On: 08/07/2026

It seems like there’s always another software platform promising to transform your business. One tool says it’ll help you close more sales. Another promises to automate your follow-up. The next claims it can save hours every week.

Some of those promises are real. Some aren’t. The challenge isn’t finding new technology. It’s deciding whether that technology will actually improve your business.

Before you sign up for another monthly subscription, take a step back and ask yourself three simple questions.

Question 1: What Problem Am I Trying to Solve?

The best technology solves a problem you already have.

Unfortunately, many software purchases happen the other way around. An agent sees a product demonstration, hears other agents talking about it, or worries they’re falling behind.

That’s usually the wrong reason to buy anything. Instead, identify the problem first. Maybe you’re spending too much time following up with prospects.

Maybe quoting takes longer than it should. Maybe administrative work is cutting into the time you’d rather spend meeting with clients. When you clearly define the problem, it becomes much easier to decide whether a tool is actually the right solution.

Question 2: What Is Solving This Problem Worth?

Every software subscription has a cost. The question is whether it creates enough value to justify that investment.

Let’s say a new tool saves you three hours each week. What could you do with those three hours? You might schedule another client appointment. Complete additional annual reviews. Follow up with prospects who might otherwise slip through the cracks.

If that extra time helps you write additional business or retain more clients, the software may quickly pay for itself. Don’t focus only on what the software costs. Focus on what it helps you accomplish.

Question 3: Will I Actually Use It?

This is the question many agents forget to ask. Even the best software won’t improve your business if you never use it.

Before you purchase anything, think through what implementation will actually look like.

How long will setup take?

Who will learn the system?

How will it fit into your daily routine?

What process will it replace?

If you don’t have a plan for using the tool every day, chances are it won’t deliver the results you’re expecting.

Timing Matters

Sometimes the right software is introduced at the wrong time. Learning a new platform during your busiest sales season can slow you down instead of helping you move faster.

If you’re preparing for the Medicare Annual Enrollment Period, Open Enrollment, or another busy production cycle, it may be better to postpone implementation until you have time to train properly.

A tool that’s introduced at the right time is far more likely to become part of your daily workflow.

Don’t Buy Features. Buy Results.

Software companies love to advertise features.

Artificial intelligence.

Automation.

Analytics.

Dashboards.

Those features may be impressive, but features alone don’t grow your agency.

Results do. The best technology helps you save meaningful time, improve your client experience, or increase production. If it doesn’t accomplish one of those goals, it may not deserve a place in your business.

The $600 Rule

Before you purchase any new software, ask yourself one final question.

If this tool stopped working after 60 days, would it have helped me earn at least $600 more than I would have without it?

That doesn’t necessarily mean one large commission.

It could come from retaining one client who might otherwise have left. It could come from the time you saved writing another application, completing another annual review, or following up with a prospect who became a client.

The number itself isn’t what matters. The exercise is. Thinking about technology as an investment instead of an expense changes the way you evaluate every purchase.

Make Technology Earn Its Place

New technology can absolutely help you run a more efficient agency. But successful agents don’t buy software because it’s new.

They buy it because it solves a real business problem, fits their workflow, and produces measurable value over time.

The next time you’re watching a software demonstration, don’t ask yourself whether the tool looks impressive. Ask whether it’s earned a place in your business.

Educational Note: This article is intended for general business education. Every insurance agency operates differently, and technology purchasing decisions should be based on your business goals, workflow, budget, and individual needs.

Key Takeaways

  • Identify the business problem before purchasing new technology.
  • Measure software by the value it creates, not the number of features it offers.
  • Consider how additional time saved can improve production and client service.
  • Plan implementation before investing in a new platform.
  • Ask whether the software will produce a meaningful return within the first 60 days.
